Reservation Guidelines

The EMS reservation system is open to active UConn faculty and staff to reserve Storrs campus classrooms for official University of Connecticut business only.

Reservations that involve groups or individuals external to UConn may not be made through the EMS system; for such events, please contact University Events and Conference Services.

Students may not reserve classrooms via the EMS system. Registered student organizations must work with the Student Activities office to reserve classroom space. Graduate teaching assistants may reserve space for activities related to the classes they are teaching by contacting the Registrar’s Scheduling unit.

Use of Classroom Space

The availability of classroom space for activities other than regularly scheduled classes is outlined in the university’s Policy on the Assignment of Instructional Space.

Classroom Guidelines

  1. Food and beverages are prohibited in centrally supported classrooms.
  2. Any classroom desks, chairs, and/or tables moved for your event must be returned to their original positions when your event has ended. Moving classroom furniture in or out of classrooms is strictly prohibited.
  3. All classroom users must be respectful of other events and academic activities in neighboring rooms and buildings. Please keep noise and other potentially disruptive activity to a minimum. Groups and individuals who are disruptive to others will lose their classroom reservation privileges.
  4. Classroom reservations pertain to the classroom only and do not include adjoining spaces, such as building lobbies. These spaces are not controlled by the Office of the Registrar and as such may not be reserved by our office.

Classroom Support

Locking and Unlocking

Most buildings with centrally supported classrooms are unlocked Monday through Friday from 7 a.m. to 10 p.m. See your event confirmation for details about any exceptions to this rule. If a building or classroom you have reserved is locked, please contact Facilities Operations. The Office of the Registrar is not able to unlock buildings or classrooms.

Weekend Events

Requests for weekend events must be submitted no later than 9 a.m. on the Friday prior to the weekend the event will be held, so it is recommended that requests for weekend events be submitted by Thursday morning. Requests submitted after that point may not be processed in time to be included in Facilities Operations’ weekend building unlocking process.
